Miss Your Ofsted Annual Fee and You Could Lose Your Nursery Registration
Ofsted has reminded childcare providers that paying the annual registration fee is not simply an administrative task. If an overdue invoice is still unpaid after 30 days, Ofsted will issue a notice of decision to cancel the provider’s registration.
A small invoice with a potentially serious consequence
Every Ofsted-registered childcare provider must pay an annual registration fee. It becomes due on the anniversary of the provider’s registration or on the anniversary of the date that additional premises were approved.
Ofsted sends the invoice by email and post. Providers therefore need to make sure their contact details are correct and that responsibility for checking and paying the invoice is clearly assigned.
The important point is simple: paying the annual fee is a condition of remaining registered.
Four facts to remember
These are the main deadlines and responsibilities nursery owners, managers and childminders should build into their compliance systems.
Every year
The registration fee is due annually, not only when a provider first registers.
Ways the invoice arrives
Ofsted sends the annual fee invoice by both email and post.
Days overdue
Ofsted emails the provider when the invoice becomes seven days overdue.
Days before formal action
At 30 days overdue, Ofsted issues a notice of decision to cancel the registration.
What happens if the annual fee is not paid?
The process gives providers reminders, but the safest approach is to act as soon as the original invoice is received.
Fee becomes due
The payment is due on the registration anniversary or the anniversary of approval for additional premises.
Invoice is sent
Ofsted sends the invoice to the provider by email and post with payment information.
Seven days overdue
Ofsted sends an email reminder followed by further reminders by text and email.
Thirty days overdue
Ofsted issues a notice of decision to cancel the provider’s registration.
If the registration is cancelled, the provider can no longer care for children
This could cause immediate disruption for children, families, staff and the nursery business. It is therefore important to treat the annual fee as a core compliance deadline rather than an ordinary supplier invoice.
Ofsted offers four payment methods
Providers can choose the option that best suits their administration and cash-flow arrangements.
Available payment options
The invoice contains payment details and information about how to contact Ofsted with any questions.
Six ways to protect your registration
A few simple controls can prevent a missed invoice from becoming a serious operational problem.
Add the anniversary to your calendar
Record the registration anniversary and set reminders several weeks before the fee is expected.
Keep contact details up to date
Make sure Ofsted has the correct email address, postal address and telephone number.
Check spam and shared inboxes
Confirm that Ofsted emails are not being filtered and that the relevant person checks the inbox regularly.
Assign clear responsibility
Decide who receives, checks, approves and pays regulatory invoices if more than one person manages the setting.
Consider paying by Direct Debit
Automatic collection can help prevent an invoice being missed during a busy period or staff absence.
Act on reminders immediately
Do not wait for the 30-day stage. Check the invoice and contact Ofsted promptly if anything is unclear.
Do not wait for another reminder
Check the invoice, arrange payment and contact Ofsted straight away if there is any issue preventing you from paying. The invoice itself provides further payment and contact information.

Make this deadline part of your nursery’s compliance calendar
The annual Ofsted fee can be easy to overlook because it arrives only once a year. However, the consequences of leaving it unpaid can be far more serious than a normal late invoice.
Add the registration anniversary to your compliance calendar, keep Ofsted informed when contact details change and make sure someone is responsible for dealing with the invoice as soon as it arrives.
